Case Overview (ResFac)

Cases are another primary Object/Building Block in the database. They may be old/closed cases or active/open cases. Cases can vary greatly--they may be a simple email chain back-and-forth, or they may be very complicated and span months.

 

Identifying Case Records

You will know you are on a Case record page when there is a pink briefcase and “Case” listed in the upper left-hand corner of the page.

Case Record Page Overview

The Case record page is made up many sections:

  1. Case Details: Basic case data like Case Owner, Contact Date, Date Closed, and Status

  2. Case Type: Allows you to “categorize” the case with fields like Case Type and Subtype.

  3. Payroll Information: This section conditionally displays based on the Case Type. Focuses on specific counts of payroll information that are used for reporting.

  4. Additional Details: Additional case data.

  5. Requestor Information: This section is automatically populated and just pulls in some of the Requestor’s information.

  6. Impacted Employee: This section is automatically populated and just pulls in some of the Impacted Employee’s information. If there are multiple Impacted Employees, it just displays the count.

  7. Case Contacts: These are the employees/people connected to the Case.

  8. Transactions: These are the specific Transactions attached to the Case. They are either manually created/added, or they come in automatically from a spreadsheet upload.

  9. Files: These are files/attachments that came into the case from incoming or outgoing emails or manually added to the case.

  10. Emails: These show all incoming and outgoing emails connected to the case.

  11. Case Notes: These show all communications of the case--emails, internal notes, portal comments, etc.

  12. Tasks/Activities: These show all open Tasks manually added to the case.

  13. System Information: A “catch-all” area for case data that impact automation/etc.

  14. Case History: A select number of case fields can be “tracked” to document “original values” vs “new values.” Any changes to those fields are shown here.
