Completing a Mid-Year Closeout Evaluation

Closeout evaluations are not required but strongly recommended, especially if the employee is transferring positions or departments within the university. A close-out evaluation should be completed for the employee prior to the official data change entry in HCM. Once the entry is completed in HCM, the supervisor will lose access to the employee in Cornerstone. Cornerstone will not generate any tasks or notifications when a change such as this occurs. It is suggested that the supervisor take proactive steps prior to the data entry change.

Option 1: Final Comments & Suggested Ratings within the Individual Goals

  1. Supervisors may make final assessment comments within the comment section of each goal assigned to the employee. A supervisor may also make a comment with a suggested performance rating for each goal. These comments will be visible to the employee and the new supervisor. This will allow the new supervisor to include them in the final performance evaluation for that employee at the end of the performance cycle.

2. Remember to add comments for each goal where you want to include feedback before the employee’s official effective date changes in HCM.

Option 2: Final Overall Summary & Final Suggested Overall Score

If a supervisor would rather provide an overall performance assessment with a suggested score, they could compose a summary on a word document and upload it into the Documents section within the employee’s Snapshot profile. To do this, the supervisor can download the current plan and make comments on that plan.

After the plan has been downloaded, a supervisor can add comments specific to each goal and upload the documents by following the steps below:
