Closing a 'Percent of Time Change' Case

If an open Percent of Time Change case has: 1) a Begin Date or 2) an End Date in the current month, it will show up in the Homepage report “HRSC - Open Cases Due This Month.”

Resolving a ‘Begin Date Percent of Time Change Case

  1. Open Percent of Time Change cases that require action in the current month will show up on the Homepage report. You won’t know if it requires action on the Begin Date or End Date until you view the case.

    Select a Percent of Time Change case by clicking on the case number.



  2. If the Begin Date is in the current month, make the necessary FTE updates in HCM



  3. Once the Begin Date FTE is updated in HCM, double-click on the FTE Updated in HCM field in Salesforce



  4. Document the date the Begin Date FTE was updated in HCM, and then click Save



  5. When FTE Updated in HCM is populated, percent of time change cases with a Begin Date in the current month will: 1) be considered resolved, and 2) be removed from the Homepage report until the End Date is in the current month.

     

Closing an ‘End Date Percent of Time Change Case

  1. Open Percent of Time Change cases that require action in the current month will show up on the Homepage report. You won’t know if it requires action on the Begin Date or End Date until you view the case.

    Select a Percent of Time Change case by clicking on the case number.



  2. If the End Date is in the current month, make the necessary FTE updates in HCM



  3. Once the End Date FTE is updated in HCM, double-click on the Date Closed field in Salesforce



  4. Document the date the End Date FTE was updated in HCM in the Date Closed field, and then click Save



  5. When Date Closed is populated, percent of time change cases with an End Date in the current month will: 1) be considered closed, and 2) be removed from the Homepage report.

 

Cloning an ‘Ongoing' Case for the Following Year

  1. When you close an ‘Ongoing FTE Change’ or ‘Ongoing Short Work Break,’ you will receive a reminder to Clone the case for the following year



  2. If you do want to clone the case for the following year, click the Clone Case button



  3. Confirm you want to clone the case by clicking Next



  4. Confirm the following fields: New Begin Date, New End Date, Begin % of Time, and End % of Time, and then click Next

    1. Salesforce uses the previous year’s data to populate this new year’s data



  5. You will be reminded to add a Case Contact

    1. Adding an updated Case Contact will ensure you get the most up-to-date contact and employment information on the employee



  6. Adding a Case Contact

    1. Click on New Case Contact

       

    2. Search the employee (by name, email address, EID, etc) via the Search Employment



    3. Select the radio-button related to the correct employee and employment record



    4. Click Next



    5. Click Save



    6. Click on the Case Number to be redirected to the Case record page



    7. Case cloning complete
