Contacts are an important Object/Building Block of the database. There are around 500,000 Contacts in the system made up of current employees, former employees, students, and other people connected to the University. Contact records are the most “zoomed-out” view of the individual, and these Contact records contain information like: Bio data, Case data, and Employment data.

Identifying Contact Records

You will know when you are on a Contact record when there is a purple business card and “Contact” listed in the upper left-hand corner of the page you are on.

Searching/Finding Contact Records

There are two ways to navigate to Contact records:

  1. Global Search

    1. You can find Contacts by searching for them in the ‘Global Search’:

You will find links to Contact records throughout the system. For example, here is a link to the Contact record while inside of a specific Case:

The Contact record page is made up of three primary sections:

  1. Bio Data: There is a one-way feed from HCM to Salesforce that occurs every night. We are bringing over basic bio/contact information in this integration (ie: Name, Email, EID, IdentiKey, etc).

  2. Case Data: Shows all cases where the Contact is a Case Contact. This includes past/closed cases as well as current/open cases.

  3. Employment Data: Shows any applicable employment records from HCM--also part of the HCM → Salesforce nightly integration.
