Overview of Provisioning New User.png

When a new member joins your team and needs access to the Salesforce HRI, please follow the below steps:

  1. Ensure the employee has completed the two required tasks for Salesforce HRI provisioning:

    1. FERPA Training: In Skillsoft, search for “FERPA” and complete the CU: FERPA for CU-SIS Access. If you are already logged into Skillsoft, you can follow this link.

    2. HR Confidentiality Agreement: This agreement should already be filled out for all new HR employees. If it hasn’t, you can download the agreement here.

  2. The manager must make the provisioning request by emailing hrihelp@colorado.edu. Please include the following information:

    • Employee’s Name

    • Employee’s EID

    • FERPA Training Date

    • Confidentiality Agreement (if you haven’t already sent to HR Records)

    • Any other information related to the provisioning (ie: special permissions, urgent request, etc.)

  3. The HR IT team will receive the provisioning request, and they will work with the Salesforce team to provision the new user. This usually only takes a day or so.

  4. Once the employee is provisioned, the HR IT team will update the manager. The new employee will be able to log in following the normal steps:

    1. Ensure you’re on the VPN

    2. Go to this link

    3. Single Sign-On

    4. Duo Multi-Factor Authentication

    5. You’re in!

Notes:

  • After the employee is provisioned, if you’d like someone from the HR IT team to help train the employee in Salesforce, you can email hrihelp@colorado.edu.

  • If the employee is having issues logging in after provisioning, please reach out to HR IT at hrihelp@colorado.edu. Nonetheless, here are common reasons for login issues:

    • Employee isn’t on the VPN

    • Employee doesn’t have Duo set up (OIT directions here)

    • Aurora CID does not match Salesforce CID (the HR IT team can verify this)
