University Staff Final Evaluation (No Self-Review Edition)

This user guide is for Supervisors who do not want to incorporate the self-review in the final evaluation. This guide will follow the steps to complete the University Final Evaluation task if your department/team does not participate in self-reviews.

The order of the task is as following: Supervisor → Employee → Supervisor → Employee

At any time of the task, the supervisor has the option of adding a co-planner

Step 1: Supervisor Self-Review Selection

  1. Navigate to Cornerstone

  2. Scroll down to the task box and select “20xx-20xx University Staff Final Evaluation”

    1. Note: if you have more than 10 tasks, you must clock the “Task Box (Action Required)” to view all the tasks

  3. Navigate to the left hand side and select the employee you would like to begin the final evaluation for

  4. On the first page where it reads “Supervisor Acknowledgment of Self-Evaluation”, thoroughly read the instructions.

  5. Select NO from the dropdown.

  6. Once the supervisor has selected NO, the supervisor has a chance to add any relevant comments they would like the employee to see. Click next and navigate to the Employee Goal Section & Self Review (If Applicable).

  7. Once at the Goal Section page, the supervisor has a chance to add any relevant comments to their employees goals. This is not required, so if the supervisor has nothing to add at this time, they may push the task forward by scrolling down to the end of the page and clicking Submit.

    1. Note: the supervisor will have the opportunity to add supervisor comments and ratings in Step 3: Supervisor Final Departmental Rating--clicking Submit on this step will not fully submit the entire review.

    2. At any time, the carrot next to the goals can be clicked and you will be able to view Comments made on the Performance Plan throughout the year, as well an expanded view of the goals. Note: the full goal and description is only viewable in the task by clicking the carrot next to the goal and clicking Manage Performance Plan

  8. The supervisor will click Submit, and an additional Pop-Up will ask the Supervisor to click submit again. Please ensure you are clicking submit twice to ensure the task is routing to the next step. This will be standard for every step.

Step 2: Employee Self-Review (If Applicable)

  1. Navigate to Cornerstone

  2. Scroll down to the task box and select “Your 20xx-20xx University Staff Final Evaluation”

    1. Note: if you have more than 10 tasks, you must clock the “Task Box (Action Required)” to view all the tasks

  3. Click Next and the employee will be navigated to the Supervisor Acknowledgement of Self-Evaluation Step. When you scroll down the Yes/No Dropdown should read NO. This indicates that your supervisor would NOT like you to use the following sections as a self-evaluation

  4. Click Next and the employee will be navigated to the Employee Goal Section & Self Review (If Applicable).

  5. The employee can view any relevant comments their supervisor has added at this time and may add additional comments they would like their supervisor to see when considering the ratings of each goal. This is not required and if the employee has nothing to add, they are encouraged to skip through this section without comment.

    1. At any time, the carrot next to the goals can be clicked and you will be able to view Comments made on the Performance Plan throughout the year.

  6. After the employee has finished viewing their goals, click Next

  7. The next page is the Employee Self-Review Narrative (If Applicable). Since the employee is not completing a self-evaluation, this box can be left blank.

  8. Click Submit once at the bottom, and Submit again when the pop-up shows up once the employee has finished looking through the sections. The task will now be routed back to the Supervisor to complete the Final Evaluation.

Step 3: Supervisor Final Departmental Rating

  1. Navigate to Cornerstone

  2. Scroll down to the task box and select “20xx-20xx University Staff Final Evaluation”

    1. Note: if you have more than 10 tasks, you must clock the “Task Box (Action Required)” to view all the tasks

  3. Find the left hand and select the next step in the sequence, which reads “Supervisor Final Departmental Rating and Sign-Off”

    1. Note, if you have multiple employees who are on different stages of the final evaluation, you must navigate to the left hand side and click the correct section. The green check mark next to your employee indicates that the step you are currently on has been completed. A blue circle next to the employee will indicate that it is a newly opened step.

  4. The first section will be the Employee Self-Review Narrative (If Applicable). Since NO was selected in the self-review selection dropdown, this section should be blank.

  5. Click Next and the supervisor will be routed back to the Employee Goal Section. Now the supervisor has a chance to rate, weight, and comment on all the goals for the employee in the lens of a Final Evaluation. At this point, the supervisor can review their previous comments, if they added any, and add anything additional to their comments to provide the employee with more insight surrounding the ratings of the goals.

    1. At any time, the carrot next to the goals can be clicked and you will be able to view Comments made on the Performance Plan throughout the year.

  6. After the supervisor has weighted and rated all the goals for the year, click Next

  7. The supervisor will be navigated to the Final Departmental Rating and Supervisor Narrative section where they will determine a final rating for their employee and add an optional narrative they would like their employee to see. All of this information will be saved in the personnel file.

  8. Click Next and the supervisor will now be at the Supervisor Final Sign-Off page. Please read the instructions thoroughly. Click Save for Later if the department is participating in a calibration meeting and the final rating must be approved. Sign the name and click Submit once you are done. Again, you will have to click submit twice once the pop-up shows up.

  9. Now the task will be sent to the employee where they will finalize the evaluation.

Step 4: Employee Acknowledgement

  1. Navigate to Cornerstone

  2. Scroll down to the task box and select “Your 20xx-20xx University Staff Final Evaluation”

    1. Note: if you have more than 10 tasks, you must click the “Task Box (Action Required)” to view all the tasks

  3. Click Next and the employee can view their Self-Review Narrative, which should be blank as NO was selected in the self-review selection dropdown

  4. Click Next and the employee will be on the Employee Goal Section where they can view the ratings that their supervisor has provided them on each individual goal

  5. Click Next and the employee will be navigated to the Final Departmental Rating and Supervisor Narrative where they can view their supervisor’s final rating and add any comments they would like to be stored in their personnel file.

  6. After the employee feels satisfied with their final review, they can click Next where they have a chance to Acknowledge by signing off.

  7. Click Submit and Submit again when the pop-up shows up and the review is complete!

Summary

  1. At the end of the task for both employees and supervisors, a summary of the scores will be visible. This will show the average weighted score of the goals as well as the final departmental rating. This summary is for informational purposes and will be there as additional information in the final PDF. The summary can be viewed at any time in the task. At the end of the task, both employee and supervisor will receive an email to notify them that the task is complete.
